been tasked with creating an email policy for an assignment but myself and my group need to produce a dicussion document to go with it. Anyone any experience in writing such a document as I am having trouble thinking how to structure it.

Why not try something such as:
- Introduction/Aim
- Statement Of Current Policy
- Problems With Current Policy
- Proposed Reform
- Weakenesses/Issues With Proposed Policy (and how you intend to mitigate/reduce them)
- Conclusion
